Smart Voicemail for lawyers: zero missed calls
Business context
A Belgian law firm set out to improve the quality of client service through better management of phone calls. In an industry where speed of response and attentive communication build trust, every missed call can mean lost business or client dissatisfaction.
Growing competition in the legal services market means law firms are looking for an edge in availability and responsiveness. Lawyers are often in court or in meetings, and they also need uninterrupted time for focused work — as a result, valuable calls go to voicemail and disappear off the radar.
The goal of the project was to implement a solution that would ensure no call goes unanswered, while also increasing client satisfaction through fast and convenient contact channels.
Challenge
The key challenge was to design a system that goes beyond traditional message recording — one that actively initiates further conversation with the caller, understands the context of the case, and helps lawyers assign the right priority to callbacks.
The system had to automatically classify the intent of the call, organise follow-up tasks, and support the rapid escalation of urgent matters. An important requirement was integration with popular communication platforms, particularly WhatsApp, as well as seamless operation on iOS, Android and Windows Phone devices, without burdening lawyers’ daily workflow.
Solution
Using C# .NET and Flutter, the team developed the Smart Voicemail for Lawyers application. The solution transforms classic voicemail into an active assistant: after a missed call, it automatically starts a conversation with the client via WhatsApp, asking about the purpose of the contact and the urgency of the matter.
Voice messages are transcribed into text, allowing lawyers to review and filter them instantly. A central To-React list organises callback tasks, while built-in prioritisation mechanisms move the most important matters to the top of the queue, ensuring timely responses.
The application operates across the iOS, Android and Windows Phone ecosystems, providing a consistent experience regardless of device. As a result, lawyers can focus on substantive work and their private lives, while still maintaining a high level of responsiveness and ensuring clients feel properly looked after.
